How it works

From first hello to every reply handled.

A clear, human process with safe access, written approval rules, and no mystery about what happens next.

The complete process

Seven steps. Nothing hidden.

Every client follows the same careful foundation, then the workflow is tailored to the business.

01
Start

Tell us about the business

Choose a plan or request a free review checkup. The short intake gives us your locations, review platforms, current volume, and the biggest challenge you want off your plate.

This is an inquiry, not permission to access an account or publish a response.
02
Agree

Confirm the scope

We confirm the plan, included locations and platforms, monthly response allowance, turnaround target, and any approved extras. Then both sides sign the service agreement and authorization policy.

Your plan includes up to its stated number of responses. It is reserved capacity, not a guaranteed minimum.
03
Listen

Build your voice guide

A focused kickoff captures how you speak, words you use, words you avoid, preferred sign-offs, team names, common questions, and the details that make a reply sound like you.

We also identify claims, promises, refunds, and sensitive subjects that require approval.
04
Connect

Invite us safely

You add a company-controlled user through the platform's official manager or team-access tools where available. If a platform does not support delegated access, we deliver an approved draft for your team to post.

You never email us a password, one-time code, or recovery code. You stay the owner and can remove access.
05
Calibrate

Approve sample replies

We prepare a small set of examples across positive, neutral, and difficult reviews. Your feedback becomes the working playbook for tone, length, personalization, and calls to action.

Nothing goes live until the agreed approval model is active.
06
Reply

Monitor, write, and respond

We review new activity, read the full customer comment, check available business context, write a specific response, and complete a risk check before publishing or sending it for approval.

A response counts when it is published or when a substantive ready-to-use draft is delivered.
07
Improve

Share patterns, not just replies

Your monthly summary shows completed response volume, recurring praise, recurring friction, and useful customer themes. We use your feedback to keep the voice guide current.

The goal is consistent care today and better customer insight over time.

You choose the control level

Three approval models.

You decide in writing who may publish what. Sensitive reviews can always be held, even when routine replies are pre-approved.

01

Full approval

Best for launch and highly regulated teams

You review every response before it is published. This creates the tightest control while we learn the voice and operating details.

02

Sensitive-only approval

Best for most established businesses

Routine replies can be published under the approved playbook. Anything involving risk, compensation, disputed facts, or unusual circumstances is held.

03

Playbook publishing

Best after a strong calibration period

We publish routine responses that fit the written rules and escalate every exception. You retain oversight through reporting and can change the model in writing.

When a review needs more care

We do not guess through risk.

Routine appreciation is one thing. A threat, injury claim, discrimination allegation, refund demand, chargeback, employee accusation, legal issue, or media inquiry is another. Those situations move up the escalation ladder.

Level 0

Routine

Reply under the approved voice and publishing model.

Level 1

Service recovery

Use verified facts and an approved next step; hold if the remedy is unclear.

Level 2

Sensitive

Document, preserve, and wait for the client's written approval.

Level 3

Critical

No substantive public reply until the client and appropriate adviser decide.

Plain-English plan rules

What “up to” means.

It is a maximum monthly allowance. If fewer customer reviews arrive, there is no missing quota for us to manufacture.

Capacity resets each month. Unused responses do not roll over, become a credit, or convert into another service.

No surprise overages. Additional replies are completed only after you approve the price or a plan change.

Targets are good-faith turnaround goals. The clock pauses when access, facts, or client approval is needed.

A clean division of responsibility

We write with care. You keep control.
